Add Visitor Student via AIRS

Instructors can enrol guest/visiting students who are not officially registered to the course via the AIRS Moodle interface.

Note: Visiting student are visible in the SAPS grade book for the course. If you won’t be grading the student, consider assigning them an “Auditing Student” role via Moodle. See Assign Roles to Course Participants.

  • To add a visiting student, you need to know their Bilkent student ID.
  • Log into AIRS. Click the “Moodle” button. Select “Your Courses”.
  • On the list of courses, click the “Operations” button next to the relevant section, and select the “Add Visitor Student” option.

Please note, you cannot add visitor students directly to a combined course (e.g. “POLS 547 (All Sections)”). This is because combined courses inherit user roles from the individual section courses they combine (e.g., “POLS 547-2“). You must add the visitor student to one section of the Moodle course (in this case, “POLS 547-2“), even if you are not using it / have hidden it.

  • In the “Add Visitor Student” dialog that opens, enter the student’s Bilkent ID and click “Search Student”, then click the “Enrol Student in Moodle Course” button.

        

Please note, this tool won’t find Bilkent students who are not registered in the STARS system for courses in the current semester (e.g., some PhD students). You can add these students directly via Moodle, but they must first have a Moodle account created manually by the Moodle support team. Please check the visiting student’s suitability/availability with your line manager, then send moodle@bilkent.edu.tr their full name and email address. Once they have a Moodle account, you can then Enrol a User in a Course and Assign Roles to Course Participants.
